Ordering process
6 questions
Both private customers and companies can order from PromoShark, with or without branding. The operational requirement is to respect the minimum order quantity shown on each product page.
If you are ordering as a company or freelancer, simply enter the correct billing details so the invoice can be issued properly.
We do not work with single units. The commercial minimum appears on each product page, but personalised orders also have a technical minimum equivalent to 100 units.
If you need a lower quantity, the order can still be processed, but the printing cost is usually calculated as if 100 units were produced. For embroidery, the usual technical minimum is around 25 units.
The usual workflow is:
Order received and artwork checked.
Visual proposal or mock-up prepared.
Final production proof sent for approval.
Manufacturing starts only after your written OK.
Goods are shipped and tracking is shared.
This keeps design, position and technique fully validated before production starts.
You can cancel or modify the order while it has not yet entered production. Once the print proof has been approved, production starts almost immediately and changes to design, quantity or delivery address can no longer be made.
Even if the order has not yet entered production, cancellation may involve management charges of up to 40% of the order value.
If you have any doubts before approving the proof, our team is available to help. That is the key moment to review every detail.
Yes. If your company is registered for intra-Community VAT in another European Union country, you can place your order with 0% VAT.
During checkout, enter your VAT Number in the billing details using the format country code + number, for example: DE12345678, IT321654987 or PT987654321.
Our system will automatically verify the number against the official European VIES database. If it is valid, VAT will automatically be removed from your order.
Please make sure that the billing details you provide match the details associated with your VAT Number.
To apply 0% VAT, your VAT Number must be successfully validated through the European VIES system.
Check that you have entered the number with the country code at the beginning (for example, DE, IT, PT, FR...) and that your billing details are correct.
If VIES cannot validate the number — because it is incorrect, is not registered for intra-Community transactions, or the validation service is temporarily unavailable — the applicable VAT will remain on the order.
Personalisation
4 questions
Each product has its own available branding areas. On the product page you will see the compatible positions and, if the item allows it, you can also request more than one print position.
Each extra position may require additional machine setup, so it should be checked before the quotation is approved.
Yes. With techniques such as laser engraving or digital printing, we can work with variable data to personalise names, job titles or codes on each unit.
We can also prepare text-only layouts if you do not have a logo, although the handling of individual data files usually carries an extra charge.
Yes, but the product must be validated first. A QR code needs enough size and a suitable surface to remain scannable. On curved, very small or textured items it may not be feasible.
If you need an exact corporate shade, send us the Pantone code so we can align the visual proof and production as closely as possible.
Yes, of course. For this type of personalisation, we need to review the product and prepare a tailored quotation for you.
If the same logo or design is used on all areas, normally only one film positive or screen is needed. If the artwork changes between positions, we will advise you on the most suitable solution and the applicable setup costs for your project.
Printing techniques
3 questions
We work with screen printing, pad printing, laser engraving, CMYK digital printing, sublimation, transfer, DTF and embroidery, depending on the material and product shape.
Laser engraving is usually the most durable option because it acts directly on the material. For ink-based techniques, durability depends on the item, the use case and the surface.
They are the preparation elements needed to transfer a design onto the product in techniques such as screen printing or pad printing.
Film positive: transparent film with the design in opaque black used to block light during exposure.
Screen or cliché: the prepared matrix where the design area is opened so the ink can pass through.
In commercial terms, we usually use these words to refer to the fixed setup cost before production starts.
The cost depends on the number of colours in the artwork. Each colour requires its own setup and, in standard production, we usually work with up to 8 spot colours.
If the job is full colour, it is normally handled with 4 base CMYK screens. In laser or digital printing, the setup cost is linked to digital artwork preparation.
If you repeat an order within 2 years using the same artwork and a compatible product, the cliché can often be reused without charging the setup again.
Artwork and files
3 questions
The ideal format is a vector file: PDF, AI, EPS or SVG. For digital printing, high-resolution PNG or JPG can also work, but only if the product and technique allow it.
We do not accept screenshots, Word documents or Drive links as final production files because they do not guarantee quality or traceability.
Yes. If you do not have the correct final artwork, we can provide a vectorisation service and deliver the final file for future use.
When colour accuracy matters, we need the Pantone reference. For white and black it is normally unnecessary, but for other colours it helps avoid deviations.
Before production we send a visual simulation or branding proof and then the final production reference. Nothing is manufactured without written approval.
If you spot an error during validation, we correct it and resend the updated version before the job goes to the factory.
Shipping and lead times
4 questions
Standard shipping is free to mainland Spain and the Balearic Islands for orders above EUR 200 before tax. We do not ship to the Canary Islands, Ceuta or Melilla.
Shipments within the European Union vary according to the weight and volume of the order. Contact us for the exact conditions and costs based on destination and shipment size.
Non-personalised orders are usually delivered within 3 to 5 working days.
Personalised orders usually move within a window of 5 to 12 working days from approval of the virtual mock-up and payment confirmation.
On selected products and techniques we can review urgent production or express shipping, but it must be checked case by case because it affects cost, stock and workshop capacity.
We keep you informed of the main stages: validation, production and dispatch. Once the order leaves for transport, we share the tracking number.
For high-volume orders, delivery may be palletised and made to kerbside level. If that applies, it is communicated in advance.
We can check incoming replenishments, suggest an alternative item with a similar function or review a special supplier solution if the volume justifies it.
If your event deadline is critical, the safest approach is to validate availability before payment so the project does not depend on uncertain restocks.
Returns
3 questions
We only accept returns of customised products in the event of a manufacturing defect or when the result does not match the approved proof.
As these goods are made specifically for your brand or event, there is no return right for a simple change of mind once the product has been correctly manufactured.
Non-personalised products can be returned within 15 days of receipt, provided they are in perfect condition and in their original packaging. Return shipping costs are borne by the buyer, and the refund will be reduced by the original shipping costs even if those were waived.
A management charge of up to 40% may also apply depending on the condition of the returned goods and the handling required.
Contact us immediately by email including:
Order number.
Photographs or video clearly showing the defect or error.
Description of the problem.
Please also record the damage or issue clearly on the delivery note and add the wording SALVO EXAMEN so there is up to a 24-hour window to inspect the goods.
Our team will handle the incident as a priority. Possible solutions are urgent replacement, full refund or credit for future orders, depending on the case.
About the products
2 questions
Yes. Depending on the item and project stage, we can work with a virtual sample, a blank physical sample or a printed physical sample.
The virtual option is the fastest. Physical samples have shipping costs and, if they are branded, also involve setup costs.
The catalogue combines Asian and European manufacturing depending on the product family. Where relevant, the product page shows the country of origin and the key technical information.
We work with products aligned with the applicable European regulations and with supplier certificates or declarations when they correspond to that item category.
Sustainability
2 questions
Yes. Product selection is not based on price alone, but also on responsible materials, reasonable traceability, documentary compliance and supplier development.
We aim for sustainability that is operational and verifiable, not just marketing language.
On product pages we review materials such as RPET, recycled cotton, bamboo, cork or recycled aluminium, together with certificates like GRS, FSC or OEKO-TEX when available.
If you need a better environmental profile, we can suggest alternatives within the same functional range.
